Privacy Policy
Effective date: 5 November 2026
This policy explains what information Recipe Costing collects, how we use it, and the choices you have. We collect only what we need to run the service.
1. Who we are
Recipe Costing (recipecosting.cc) is operated by Hola Coco Ltd, a private limited company registered in the United Kingdom with company number 10842330. Our registered office is 245, John Spibey Associates, Bury New Road, Manchester, M45 8QP, United Kingdom.
Hola Coco Ltd is the data controller for the information described here, which means we decide how and why it is used. To contact us about privacy, email info@recipecosting.cc.
2. What we collect and why
| Information | Why we use it | Our legal basis |
|---|---|---|
| Your email address, account ID and account dates | To create your account, send sign-in links and run the service | Contract |
| Ingredients, pack sizes, prices and price history, recipes, quantities, yields, labour, packaging, margin or markup, and costing sheets | To save, calculate and show your costings | Contract |
| Calculations you choose to save as a temporary draft | To keep your work for 7 days after you sign in | Contract |
| Stripe customer ID, the price you subscribed to and your subscription status | To know whether your account has Pro and to open your billing page | Contract, and legal obligations for financial records |
| Usage events, such as “costing sheet generated”, with a date and, if you are signed in, your account ID | To understand which features are used and whether customers come back | Legitimate interests in running and improving the service |
| IP address, browser details, pages requested, and sign-in and error records | To deliver the site, prevent abuse and keep accounts secure | Legitimate interests in keeping the service secure |
| Anything you send us by email | To answer you | Legitimate interests, or contract if it concerns your account |
Usage events never contain recipe names, ingredients, prices or email addresses. When someone uses the calculator without signing in, we record only that a calculation was completed, with no account ID.
We do not ask for sensitive information, and recipes do not need any. Please do not put personal details about other people in recipe or ingredient names.
We need your email address and costing data to provide the service. Without them you can still use the calculator, but you cannot have an account.
Google sign-in. This is not switched on at the moment. If we offer it and you use it, we will receive your name, email address and profile picture from Google to create your account.
3. The free calculator and your browser
You can use the calculator without an account. It keeps your work in your own browser (“local storage”) so that a refresh does not lose it. This starts when you open the calculator, and it stays on your device: we cannot see it, and it is not sent to us unless you choose to save it and sign in.
The saved copy is treated as expired after 7 days and is removed the next time the calculator opens after that. Clearing your browser data also removes it.
4. Temporary drafts and saved recipes
- Temporary drafts. If you choose to save a calculation and sign in, it is stored on our servers for 7 days and then deleted automatically. You can also delete it yourself.
- Saved recipes. With a Pro subscription, a draft can become a saved recipe, and its ingredients join your ingredient library. Saved recipes, ingredients, price history and costing sheets are kept until your account is deleted.
- If Pro ends. Your saved work stays in your account, where you can view and export it, but you cannot change it unless you subscribe again. See how long we keep information.
7. International transfers
Your account and costing data are stored and processed in Sweden. Some information can still be handled outside the UK and EU, mainly in the United States, because several of our suppliers are US companies or operate there. Where the law requires it, we rely on the transfer safeguards in our suppliers’ data processing terms, such as standard contractual clauses or an adequacy decision. To ask about these safeguards, email info@recipecosting.cc.
8. How long we keep information
| Information | How long |
|---|---|
| Calculator work in your browser | 7 days, as explained above |
| Temporary drafts | 7 days, then deleted automatically |
| Account and saved costing data | Until you delete your account. Free accounts with no activity for 23 months get a warning email, and are deleted 30 days later if still unused. We do not delete an account that has Pro. |
| Usage events | 24 months. If you delete your account sooner, the link to your account is removed and the event stays as an anonymous count. |
| Billing records | Stripe keeps its own records. We keep what we must for tax and accounting, normally six years. |
| Hosting, sign-in and error logs | For the short periods set by our suppliers |
| Emails to us | For as long as we need them to deal with your request |
| Database backups | Deleted data can remain in backups until they expire on our database supplier’s schedule. We do not restore deleted accounts from them. |
9. Exporting and deleting your data
- Export. Your account page lets you download your account details, ingredients, price history, recipes, costing sheets and temporary drafts as a JSON file.
- Delete your account. You can do this on your account page. It removes your account and costing data from our live database and removes your sign-in. If you have Pro, cancel first. You can then delete straight away, and any paid time left is lost.
- Delete a single item. Saved recipes and ingredients can be archived with Pro but not deleted one at a time. Email us if you need a particular item removed.
10. Your rights
If you are in the UK or EU, you can ask to access, correct, delete or receive a copy of your information, and to restrict or object to how we use it. You can object at any time to direct marketing. Where we rely on consent, you can withdraw it. Some rights have exceptions, for example where we must keep records by law.
Email info@recipecosting.cc to use these rights. It is free, and we will normally reply within one month. We may need to confirm who you are first. We do not make decisions about you using automated processing that have legal or similarly significant effects.
If you are unhappy with how we have used your information, please tell us first so we can try to put it right. You can also complain to the UK Information Commissioner’s Office at ico.org.uk, or to the data protection authority where you live if you are in the EU.
11. If you are in the United States
We do not sell your personal information or share it for targeted advertising. Some US states give residents rights to access, correct or delete their information. Wherever you live, you can make these requests by emailing info@recipecosting.cc, and we will not treat you differently for doing so.
12. Children
Recipe Costing is for people aged 18 or over, and we do not knowingly collect information from children. If you think a child has created an account, email info@recipecosting.cc and we will delete it.
13. Security
We use encrypted connections, keep your data separate from other customers’ accounts, and block browser access to our product database. No online service is completely secure, so keep access to your email account safe, as sign-in links are sent there. If a breach is likely to put you at risk, we will tell you and any regulator as the law requires.
14. Marketing emails
We do not send marketing emails at the moment. If we start, we will only do so where the law allows, and every message will include an easy way to opt out. Sign-in emails and important service messages are not marketing.
15. Changes and contact
We will update this policy when the service or the law changes, and show the new effective date at the top. If a change significantly affects you, we will tell you by email or on the site. Questions: info@recipecosting.cc, or write to Hola Coco Ltd, 245, John Spibey Associates, Bury New Road, Manchester, M45 8QP, United Kingdom.
